Adding Volunteers

Adding Volunteers

The word “Volunteer” is customizable by each organization and might differ based on the settings that you’ve selected. You can change the term “Volunteer” on your Edit Organization page on the Empower Web App. In the Empower App, you will also see the “Volunteer” term appear as “Leader”.

This article will walk you through adding volunteers engaging with your organizationVolunteers are people that build lists of contacts (relatives, friends, neighbors, etc), a network that they are committing to engaging with in your organizing campaign. Empower flourishes in the hands of volunteers, and their networks leverage their people power for the goal at hand. Volunteers are Contacts who you’ve connected with through 1-1s, and have committed to offering their time and effort for your shared cause. Once you have shared with them what volunteering and engaging with the organization looks like, inviting them to use Empower is a great way to maintain that connection and engagement. Leveling up an individual from a Contact to a Volunteer on Empower can be done a variety of ways, discussed in further detail below. Once their account has been created, volunteers can log in to the Empower app to see and respond to calls to action.

Inviting Someone to Create an Account

  • From the Empower mobile app homepage, click on the Recruit New Leaders button.

  • You are now on the Recruit page. Under Invite Leaders, there will be an invite link.

  • Copy that link and send it to someone that you would like to become a volunteer for your organizing campaign.

  • Once the the volunteer receives your message and clicks on the link, they will be prompted to download the Empower app and create an account.

  • It's important that your new volunteers use this specific invite link. If the volunteer uses the invite link that you sent them, they will be automatically added as one of your volunteers.

  • To send someone an invite link from the Empower web app, Organizers can click on the Invite Links button on the left hand side of the screen. Directors can find invite links on the Organization page under Invite Links.

  • You will next see a list of Organizers and Directors associated with your campaign. Select either the Organizer or Director that you would like to assign these new volunteers to and copy their invite links. We recommend assigning the new Volunteer to the Organizer or Director that will be leading outreach and communications to them.

  • Send this link to the person that you would like to become a volunteer. It’s important that your new volunteers use this specific unique link because they will then automatically be added to the assigned Organizer or Director’s list.

Promoting Someone from Contact to Volunteer

  • From the Empower web app, click on People.

  • The person that you want to promote is currently on the list of an existing volunteer. Click on the name of the existing volunteer whose list includes the person that you want to promote to become a new volunteer.

  • You are now on the existing volunteer’s page. To find and promote the person that you are looking for, click on the More button. Then click on the View their contact list button.

  • Find the name of the person that you want to promote, then click on the arrow on the same line as their name.

  • After clicking on the arrow, you can see a Promote to Leader button on the top right hand side of the screen. Click on that button to promote this person to a volunteer.

  • If the contact does not have a phone number or email, you will be prompted to add either one of these to their account.

  • After promoting the person to becoming a volunteer, the new volunteer will be able to use the Empower web or phone app and create an account. In order for this person to successfully sign-in, they will have to use either the same phone number or same email that you used when adding them as a volunteer.

  • You can also bulk promote multiple contacts to volunteers at once. Click on the People tab and select all of the contacts that you would like to promote to volunteer. Check out this article on Bulk Actions to get a step-by-step guide on how to bulk promote.

Adding Volunteers Whose Information You Collected with Pen and Paper

  • If you collected multiple volunteers' information through pen and paper sign-up, there is a way to create volunteer accounts for them. Sign in to your Empower mobile app and click on the Recruit New Leaders button.

  • Under the Onboard using paper worksheet headline, click on the Upload worksheet photo button.

  • Take a photo of the completed paper worksheet(s) with the volunteers’ information.

  • Once you’ve selected a photo of the worksheet, you will be taken to the Upload worksheet page. Assign the worksheet to the Organizer or Director who will enter the new volunteers using the Assign to button (you can assign them to yourself). Once you have selected an Organizer or Director to upload these volunteers, click Submit.

  • You will need to repeat this process for each page of volunteer information that you collect.

  • Once you’ve clicked Submit, the Director that you assigned to upload these new volunteers will receive an email with your photo of the worksheet attached. The Director will still need to add these Volunteers to Empower. The “Bulk Adding Volunteers Through a CSV” section provides a quick how-to on adding a number of volunteers at once.

Creating an Account for Someone

  • From the Empower web app, Directors can click People in the menu on the left and then click Add and then Add person button. Organizers can click on Add People directly from their home page

  • Enter information for the person that you would like to add as a volunteer. While the only required field is the name, adding an email address or a phone number will allow the volunteer to create an account with Empower. You can also add notes or tags for this person.

  • Next, you can add your new volunteer to the list of an Organizer or Director. We recommend assigning the volunteer to the Organizer or Director who will likely be in contact with them.

  • Under the question How are they involved?, you can select: I want them on my list, and they're ready to be a Leader who makes their own list of people and talks to them. This option will make the person a volunteer.

  • Click Add Person to add this person as a volunteer.

  • After adding the person as a volunteer, they will be able to use the Empower web or phone app and create an account. In order for this person to successfully sign-in, they will have to use either the same phone number or same email that you used when adding them as a volunteer.
