Organizer Tasks

The Empower App is an incredibly helpful tool when it comes to Volunteer management. As an Organizer, you can use Empower to follow-up with your Volunteers. There are two ways your organization can manage organizer follow up: tasks, which is described in this article, and Organizer Follow Up Calls to Action. Tasks provide preset lists for organizers to contact, while Calls to Action are customizable but must be created manually. The type of Organizer follow up your organization is using can be set by Directors on the Organization Settings page. In this article, we will walk through using the Empower App with tasks (both mobile and web) to follow-up, coach, and celebrate your Volunteers.

Following Up With Volunteers

As an Organizer, you want to have consistent and helpful communication with your Volunteers. The Empower App can help you with that Volunteer follow-up.
  1. On your home screen on the Empower App, scroll down to the My Actions section.


  1. The Your People section will show all of the people assigned to you. The New button will show Volunteers that have been newly assigned to you and haven't received outreach yet. 

  1. There are two types of follow-ups that we will review: Scheduled Follow Ups and Call to Action Follow Ups.
    1. Scheduled Follow-Up
      1. With this view, you will be able to track whether your Volunteers have completed their scheduled outreach tasks and you can follow-up with Volunteers based on their progress. You can see if the Volunteer has made progress on the outreach task, their progress on the current call to action, the number of contacts that are assigned to them (under Downstream), the total number of conversations that they’ve had, and the date of their latest activity. This information can help you determine how and when to reach out to your Volunteers.
      2. You can also click on the Scheduled Follow Ups button on the left hand side of the screen. This will take you to the pages of the Volunteers who are on your Scheduled Follow Up list. Volunteers appear on your scheduled follow up list when you schedule a follow up when logging outreach once it is time for the scheduled follow up. You can either log your follow-up with the Volunteer or click the Skip button to go to the next Volunteer.

    1. Call to Action Follow-Ups
      1. Volunteers appear in the Call to Action Followups section if the last organizer outreach to them occurred before the newest Call to Action was launched.
      2. This view will allow you to see whether their Volunteers have completed outreach tasks, the progress on their current call to action, the number of Volunteers they have assigned to them, the total number of conversations they’ve had, and their latest activity. We recommend having a conversation with Volunteers about their progress on their calls to action. During this conversation, you can further encourage them, troubleshoot with them, or congratulate them for their hard work.
      3. You can also click on the Call to Action Follow Ups button on the left hand side of the screen. This will take you to the pages of the Volunteers who are on your Call to Action Follow Up List. Volunteers appear on your scheduled follow up list when a new CTA is created for them. You can either log your follow-up with the Volunteer or click the Skip button to go to the next Volunteer.




Coaching

One of the most important parts of being an Organizer is coaching and developing your Volunteers. By helping Volunteers improve their relationship building, you will develop them as leaders and grow the strength and impact of your organizing campaign. Here is how you can use the Empower App to coach your Volunteers:
  1. On the the left hand side of the screen, click on the Coach New Volunteers button. Volunteers appear in this section if they have never received organizer outreach.

  1. You will now see the page for a new Volunteer.
    1. You will see the Volunteer’s contact information on this screen. You can log your outreach with a new Volunteer. We recommend having a coaching conversation with a new Volunteer. You can build a relationship with this new Volunteer, learn more about their personal story and what is bringing them to work on your organizing campaign. Additionally, during this conversation, you can talk to them about the goals of your organizing campaign and maybe even set some personal goals for them. You will be able to log your conversation here.

    1. Under the actions section, you can select an active call to action and see their progress on following up with the contacts that have been assigned to them. This is a great source of information for coaching conversations. Based on their progress, you can encourage the Volunteer, troubleshoot challenges they are facing, or celebrate their success. You can also add Contacts to the Volunteers list by clicking on the Add Person button.

    1. In the History section, you will be able to see their activity within the Empower App. This will also be helpful when you are coaching the Volunteer and seeing their progress toward goals. The History section will allow you to see the actions that the Volunteer has been taking in following up to a call to action and connecting with Volunteers.


Celebrations

A key part part of effectively coaching your Volunteers is celebrating their wins and successes. The Empower App can help remind you when to celebrate and shout out your Volunteers for doing awesome impactful work. Here are some ways that the Empower App can help you celebrate your Volunteers:
  1. From the home page on your app, click on the My Actions section.


  1. Click on the Celebrate button.
  2. You will see your Volunteers that have taken action (had a new conversation or a new contact assigned to them was added) since the last time that you spoke to them.
  3. Based on these new actions, you can celebrate your Volunteers. This is a great way to encourage them to keep up the amazing impactful work.

  1. You can also click on the Celebrate Volunteers button on the left hand side of the screen. This will take you to the page of a Volunteer who has completed a new action since you last spoke. You can click the Skip button to skip to the next Volunteer.


Mobile Experience 

In this section, we will walk through following up with volunteers, coaching, and celebrations on the mobile app.
  1. To see your scheduled follow-ups on the Empower Mobile app, from the home screen, you will see Scheduled Follow Ups.

    1. Clicking on this button will take you a page that tells you how many scheduled follow ups you have with your volunteers. Click Start to continue.

    1. If you want, you can write a conversation starter for each type of outreach task. The conversation starter will be prefilled for each new Volunteer you need to coach when you text them, but you can always edit it before sending. If you use {recipientname} it will automatically fill in the name of the person you are texting, and {sendername} will fill in your name. When you are finished, press Next.

    1. You can use Call, Text, or Other to reach out to each Volunteer. Texts will include the conversation starter you drafted above, or you can copy the conversation starter to use elsewhere under Other. You can either log your outreach with the Volunteer by pressing Log Outreach or click the Skip button to go to the next volunteer.


  1. To see your Call to Action Follow-Ups on the Empower Mobile app, from the home screen, you will see the Call to Action Follow Ups.



    • Clicking on this button will take you to a page that tells you how many Volunteers you need to follow up with. The page will provide some additional guidance around what those conversations could look like. Click the Start button to continue. 


    • You will then see the pages for the Volunteers that you need to follow-up about a Call to Action. You can either log your conversation or click the Skip button to go to the next Volunteer. 


  1. From the Empower Mobile App, you will see Coach New Volunteers on the home screen.


    • If you click on that button you will see the number of Volunteers who you need to have introductory coaching conversations with. On this page there is some additional guidance for having these conversations. Click Start to continue. 


    • You will then see the pages of the Volunteers that you can have coaching conversations with. Either log the coaching conversation or click the Skip button to move on to the next Volunteer. 


  1. From the Empower Mobile App, you will see Celebrate Volunteers on the home screen.


    • If you click on that button you will see the number of Volunteers who have taken new actions. These are people that you can celebrate for their amazing work! Click Start to continue. 


    • You will then see the pages of the Volunteers that have taken action since you last spoke. Either log the outreach or click the Skip button to move on to the next Volunteer. 


As an Organizer, strong follow-up, coaching, and celebration can help you manage your Volunteers even more effectively. You can grow the leadership of your Volunteers and help them become more impactful leaders in your organizing campaign..
